Organizer FAQ
Short answers to the questions organizers ask most. Where a full guide exists, it's linked.
Registration
Open Registration Settings and read the status banner. It tells you what's blocking registration, with a button to fix it. Also check the division isn't full and isn't a Team division.
Yes. Set the Registration Fee Per Division to 0 and save pricing. You still need a connected payment account, because registration can't open without one. Players still pay LADER's platform fee at checkout, even when the division is free (see What's the platform fee and who pays it? below).
Yes, for singles and doubles divisions that have a spot limit. In Registration Settings, open Waitlists and turn on Enable Waitlist. Then choose a Promotion mode: Automatic (open spots are offered to the queue in order) or Manual (you decide who gets an offer and when). Players have the Claim window (hours) you set to claim an offered spot.
Under Registration Settings → Waivers, click Add Waiver. Then choose one of your organization's waivers or click Create New Waiver. Players must accept every required waiver before their registration is complete. Each acceptance is recorded against the exact version the player read.
Changing a waiver's text publishes a new version. Before it saves, you're asked Do players need to accept again?
- No — typo or formatting fix keeps existing acceptances.
- Yes — the terms changed marks players who already accepted as Registration incomplete in current and upcoming tournaments until they accept the new version. They're emailed about it.
No. Players can only self-register for singles and doubles divisions. You add teams yourself: go to Players & Teams → Add Player/Team → Team.
No. Self-registration is only available for tournaments. Add league and session players yourself from their Manage Players pages.
Yes. Each entry keeps the price it was registered at, so pricing changes only affect new registrations. Nobody is charged again or refunded automatically.
This applies to a required form question, a waiver, a membership requirement, or the DUPR connection requirement. Complete registrations that don't meet the new requirement change to Registration incomplete, and those players are emailed about it. Add requirements sparingly once registration is live.
Players & entries
On the tournament's Players & Teams page, click Add Player/Team and choose Singles player, Doubles pair or Team. What the player receives depends on how you add them:
- Singles or doubles, with an existing account or an email address: the player gets an invitation by email. It also appears under their notifications (the bell). After accepting, they can finish anything still outstanding, such as form answers, payment, waivers, membership or DUPR.
- Paid divisions: the Require payment from player switch is on by default. Turn it off if the player shouldn't be asked to pay for that entry. LADER then bills your organization for any platform fee on that entry.
- Name only: nobody is notified, so share the tournament link with the player yourself.
- Teams: creating a team sends no invitations to its members.
Open the player or pair from Players & Teams. Withdraw player (or Withdraw from pair / Withdraw pair) keeps the entry as history, marked Withdrawn. Replace player swaps in someone else. If you add the new player with an account or email address, they're invited to complete their own requirements. Withdrawn players aren't emailed automatically, so tell them yourself.
Invitations don't expire on their own. Open the pair from Players & Teams and use Replace player to put someone else in that spot.
Money
Registration payments go through your organization's connected Stripe account. A Super Admin connects it from your organization page under Admin → Payment Account, using Connect Stripe.
Issue the refund, full or partial, from your Stripe dashboard against the original payment. It syncs back to LADER and appears in Financials.
The platform fee is LADER's fee, separate from your registration fee. Players see it as its own Platform fee line at checkout and pay it, even on free divisions. It's 2.50 in the tournament's currency (HK$15 for HKD, ฿60 for THB) per division entry, up to two fees per player per tournament. Your organization's agreement with LADER may set a different fee. You can waive it in two ways, and either way LADER bills your organization for the waived fee after the tournament:
- With a coupon that has Waive platform fees turned on.
- For one player, with the Waive fee link under Platform fee in their balance.
No. The discount applies to a player's later divisions. LADER never reopens or refunds a balance that has already been paid.
Where things are
Players & Teams lists your players and teams, and Export downloads them. Financials shows Total billed, Collected, Credited, Outstanding, Refunded and Net collected, plus every payment.
